THIRD PARTY FORMS AND CHECKING IN
In recent days our Admin Office has been extremely busy upon the arrival of all our residents coming back home and many new owners and first time renters. Our number one goal is to welcome everyone and make the check in as smooth as possible. Currently we are running into a specific issue that is preventing us from doing that. We are not receiving Third Party Rental Forms from the owners in a timely manner. A third-party rental form is needed whenever someone is staying in a unit when the owner is not there, no matter the length of the stay. It is crucial to have these forms at least a week before the Renter/ Guests will be staying in the unit arrives.
The front desk is receiving last minute phone calls from owners to email/ fax them a third-party form or they ask us to do it over the phone for them immediately. We often get these phone calls while we have lines going out the door. In addition, we have guests arriving to check in and we absolutely nothing on file for them. This is causing lines to back up, longer check in times and frustrated guests.
Throughout the year our office receives over 500 Third-Party forms. There is a process that must be coordinated between Front Desk and Security to make sure all the information is entered into our systems including the gate system, which allow your guest/renter to be allowed on the property and check in smoothly.
We are attaching this form with this FASTMAIL, or you may obtain this form on our website www.ventureoutrvresort.com and go to ‘HOA Information’, then ‘Important Links and Forms’. You will find the Third-Party Rental/Guest form there. You may also pick them up in the Administration Office.
Our Administration Office will not process any Third-Party forms over the phone. If a Renter/Guest arrives and we don’t have a form, we will have to turn them away. To avoid this situation and allow us to continue to serve all our residents and guests with a painless and pleasant check in process, please see some key points to follow:
- Third-Party form needs to be received at least a week prior to Renter/Guests arrival
- There is a non-refundable $25 processing fee that the Owner must pay before Renter/Guests arrival
- Please make sure to sign where it says signature of Owner before sending
- If the form is incomplete or not submitted, owners will be charged $50 to their account if the office staff has to contact the owner and process the guest.
